Photo Booth Rental Setup: What Actually Shows Up at Your Venue

A behind-the-scenes walkthrough of our photo booth rental setup — the footprint, the backdrop, the lighting, the props and print station, and how we customize the whole thing to fit your venue and your theme.

You have seen the pictures. What you have not seen is the hour before the pictures.

That hour is a backdrop going up in the corner of a ballroom, a light getting angled a few degrees, a printer warming up, and a power cord taped down so nobody catches a heel on it. The Footprint: What We Need From Your Floor Plan

Start with square footage, because that is the one thing your venue diagram has to account for weeks ahead of time.

  • Space. Our open-air Classic Photo Booth wants a minimum 8' x 8' footprint, and 10' x 10' is the happy version — that extra room is what keeps guest flow, backdrop, and attendant from fighting each other. The Glam Booth works from the same 8' x 8' minimum with tighter, portrait-style framing.
  • Power. One dedicated standard outlet (10a / 125v) within 15 feet. That single plug runs the camera, the lighting, and the printer.
  • Surface. Flat and level, near the action but out of the main walking lane.
  • Time. Setup runs 45 to 60 minutes, and we arrive 60 to 90 minutes before go-live. Strike takes another 30 to 45 after service ends. (Your guests never see a minute of it, which is exactly the point.)

Backdrop and Lighting: The Two Things That Decide Every Photo

Everything else on this list is negotiable. These two are not.

The backdrop is a tensioned fabric panel, not a sheet on a pole — no wrinkles, no sag, no sad ripples running through your logo (we have strong feelings about this). It can carry your artwork, your colors, or your branding instead of ours.

The lighting is real studio gear, which is why an open-air booth in a dim reception hall still produces clean skin tones instead of phone-flash flatness. On the Glam Booth we calibrate a beauty dish on site before doors open, then the glam processing softens skin and the full-size print lands in under ten seconds.

Props and Prints: Where the Line Becomes the Party

The station beside the booth does more work than it looks like it does.

  • Props your guests can grab in a hurry, including custom PVC props built for your theme.
  • Prints for every guest, in full-size 4x6 or 2x6 strips, with branded overlays and templates designed for your event.
  • A branded rear monitor, so the screen your guests are watching is on-message too.
  • An attendant running the whole corner: posing the shy ones, reloading paper, keeping the line moving.
  • Digital delivery by text or email over venue WiFi (5 Mbps and up), with cellular fallback when the house network gets moody, plus a hosted online gallery afterward.
