Conference Photo Booth Planning Guide for Event Teams

Planning a conference photo booth? Here is how to place it, power it, staff it and make it earn leads, with the selfie station as the one kiosk that does it all.

A conference photo booth is easy to book and easy to waste. Put the booth in a back corner or leave the contact list with nobody, and you pay for a booth producing little. This guide covers four decisions: where to place the booth, how to order power and WiFi, how many guests one station serves, and who owns the leads. We recommend the selfie station for most conferences, so the specs below describe the selfie station.

Why the selfie station is our conference photo booth pick

The selfie station is a compact kiosk. Guests take branded photos, GIFs, boomerangs and short videos, and one unit covers five goals at once.

The station collects leads, because guests enter an email address or phone number to receive their photo. The glowing ring light draws attention across the aisle. Guests leave with a branded photo in seconds. Groups laugh at the results, which gives your staff an easy opening line. Add a hashtag or an entry form and the best photo of the day becomes a contest prize.

Before you book, pick your top goal. A sponsor wants the brand visible on every photo. A sales team wants a short sign-up form, since each extra field costs sign-ups. An organizer facing a sleepy Wednesday afternoon wants quick, fun photos. Write the goal in one sentence. Send the sentence to your vendor and your sponsor.

Where to put the booth

Put the booth where attendees already slow down: registration, the coffee station, the walkway between the main stage and the expo hall, or the shuttle stop. Nobody hunts for a back-corner booth.

The selfie station fits in a 4'x4' space, and 6'x6' gives a group room to step in. Our standard photo booth needs about 8'x8', or 10'x10' with room for a queue and an attendant. If floor space is tight, choose the selfie station. If your sponsor wants a larger branded display, look at our trade show photo booth.

Attendees decide from the aisle whether to walk over. Make sure your frame and branding read from there.

Power, WiFi and show services

Order power before the deadline. Convention centers sell electricity through show services, and GES charges a discount rate for orders placed by the deadline and higher rates afterward, with the highest rate during move-in. One exhibitor-services guide says missing the earliest cutoff raises costs by 30 to 50 percent. Rates differ by show. Check your exhibitor kit for dates.

The selfie station needs one dedicated outlet within 10 feet, or a battery setup when the space has no outlet. Our other stations need an outlet within 15 feet, and the trade show station needs one within 5 feet.

Instant sharing needs about 5 Mbps of WiFi. Convention center networks slow down on opening morning, so we bring cellular fallback in many locations and a backup hotspot. Ask each vendor about backup.

How many people one station serves

Conference crowds arrive in waves. The hall stays quiet for forty minutes, then a break begins and two hundred people head for the coffee.

4'x4'Minimum selfie station footprint
60-120Selfie sessions per hour
30-45 minTypical setup time

One selfie station runs 60 to 120 sessions an hour, with one to six guests per session. GIFs move faster than video. An AI photo station peaks around 180 captures an hour, and a roaming photographer reaches people without a queue because the camera walks the room.

Check the math for your busiest break. A 45-minute break at 90 sessions an hour gives one kiosk about 68 sessions, or roughly 135 guests at two per session. If 400 people will pass through the break, add a roaming photographer beside the kiosk. Ask every vendor for a peak-hour number and how they calculated the number.

Staff the peaks and follow up on the leads

Book the booth for your busiest windows, not the whole day. Check the run of show for the opening reception and the midday break, then schedule attendants for those periods. One attendant covers a quiet stretch. A rush needs a second person to keep the line moving and help first-time users. On a multi-day show, change the frame or the prompt each day, because repeat attendees notice when nothing changes.

Pick your lead owner before the show. A contact who hears from you a month after the conference has forgotten the booth, so follow up within days. Keep the sign-up form to one or two fields and tell guests what email to expect. We also deliver a gallery after the event with participation and sharing numbers, so your sponsor report has real data.

When another station fits better

Some rooms need a different station. An AI photo booth gives crowds who like novelty a reason to stop and post. Trading cards fit B2B audiences who collect, with a name and a stat on every card. Quiet networking rooms prefer a plain branded selfie flow. Our corporate event work covers all of these, and we build the theme around your sponsor.

What to send your vendor before load-in

Send your vendor a floor plan with the booth position marked and measured. Add the show services power confirmation and the dock and load-in times. Deliver final brand assets at least two weeks out. Setup takes 30 to 45 minutes and strike takes 20 to 30, so request a load-in window covering both. Name the goal for the booth and the person who owns the leads, plus one person on site who approves changes at 7 a.m.

Exhibiting rather than organizing? Our trade show booth checklist covers your side. We also work in Las Vegas.
